Incentive FM chooses Integrated fm’s hosted CAFM solution for Emap

Leading facilities management company Incentive FM is making extensive use of fm facts ‘hosted CAFM’ software modules and Mobile fm solutions from Integrated fm in support of its total FM contract with business-to-business media group Emap. The Emap contract is also one of the first to make use of Integrated fm’s recently launched mobile auditing system.

Prior to partnering with Incentive FM, Emap was managing facilities through an in-house team with many external contractors. Incentive FM is now responsible for all hard and soft services at Emap’s sites in London, Bournemouth, Brighton and Leeds.

Appointed in March 2009 Incentive FM has already achieved significant cost savings for Emap through supply chain rationalisation and streamlining of FM processes. At the heart of many of these processes is fm facts Helpdesk, along with Asset Management, Visitor Management and Procurement Management modules.

All of the software is provided as a hosted solution, installed on Integrated fm’s secure remote servers and accessed via standard web browsers. This arrangement enabled Incentive FM to implement its IT infrastructure within Emap very quickly as there was no need to install software locally or to upgrade hardware. Use of this hosted CAFM solution at Emap followed Incentive FM’s experience of the ‘software as a service’ model on 20 other contracts.

"We have been working with Integrated fm for many years and have recently renewed our contract for the hosted CAFM service," explained Incentive fm’s Bruce McDonnell. "Their comprehensive product range and approach to contract management and system development perfectly complement our own flexible approach to working with clients. Integrated fm solutions are also very good value and the support has been excellent," he continued.

Customers with appropriate permissions can access the Helpdesk using either the intranet to book and track their own requests, or they can telephone requests through to reception for logging on the system. Help desk jobs are issued to technicians’ mobile devices using Integrated fm’s Mobile fm service.

"Implementing the Mobile fm service is enabling us to deliver even greater savings to Emap, while also streamlining our operations to improve customer service. The newly upgraded mobile auditing system that combines routine audits with Mobile FM also helps us to ensure compliance with Service Level Agreements," Bruce McDonnell added

The mobile auditing system allows a range of common audits – such as health & safety inspections, inspection of cleanliness in key areas, checking light sources, verifying waste collections etc. – to be set up within Asset Management and linked to operatives’ mobiles. As the audit is carried out any scores that fall below a pre-defined acceptability threshold automatically generate a job in the Helpdesk that is assigned to the appropriate operative.

Incentive FM is also using the Condition Based Monitoring function, that can be used with value based management data collection such as water temperature, pressure etc. against assets held within the system.

In addition, at Emap’s Greater London House headquarters, Integrated fm’s Visitor Management module is used to ensure the efficient welcoming and badging of visitors. The system includes an option for noting the status of each visitor (e.g. VIP, contractor) on the badge.

At a back office level, Incentive FM is also using Integrated fm’s Procurement Management system for various aspects of financial control, including raising purchase orders and recording invoices.
