Awards Dinner, Wednesday 3rd November 2010 at The Brewery, London EC1

The PFM Awards 2010, now in their 17th year, are the most sought after Awards in the facilities management sector. They recognise best practice in partnering in facilities management and support services between service suppliers and their clients, as well as the skills and enterprise of people engaged in this sector.

The March, April and May 2010 editions of PFM will publish information about the 13 categories, and the entry form. The information provided here is some additional advice and tips for your entry. You can also see which entries were finalists and winners in the PFM Awards 2009. Just click here.

All entries must have been in progress between 31 May 2009 and 31 May 2010. Entrants should submit a 1,500 word description of the entry detailing the relationship between the partners. Normally, not more than two entries will be accepted from any organisation in two separate categories ( entries for FMA Young Manager, e-Business, Partnering Excellence and Lifetime Achievement in FM Award categories are in addition).

Judging criteria are:

  • Partnership – how clients and suppliers work together to achieve the business, property and FM strategy.
  • Innovation – creative ways of achieving the business, property and FM strategy.
  • Achievement – movement towards and achievement of business, property and FM goals.
  • Sustainability – how the partners work towards sustainability objectives within the business, property and FM strategy that benefit the environment, the workforce and the wider community.

CATEGORIES FOR THE PFM AWARDS 2010

1. Partners in FM – corporate
Strategic partnerships where a wide range of support and facilities management services are delivered and managed for a large corporate client organisation. Entrants should demonstrate how the partnership is strategically aligned with the client’s business needs and reflected through the supply chain to effectively deliver a broad range of services.

2. Partners in FM – SME organisations
Partnerships between organisations where the client and/or facilities management suppliers are SME* organisations providing a range of support services to achieve the client’s strategic business objectives. (EU definition of SME: employs less than 250 people, annual turnover is not over €50m and/or annual balance sheet total is not over €43m) (EU definition of SME: employs less than 250 people, annual turnover is not over €50m and/or annual balance sheet total is not over €43m)

3. Partners in Healthcare FM
Partnerships between NHS and private healthcare organisations, and FM suppliers to deliver a range of safe, efficient and effective support and facilities management services in a caring environment to staff, patients and the wider community.

4. Partners in Education FM
Partnerships in the public and private education sector with support services and facilities management suppliers to support the staff, students and wider community in the pursuit of educational achievement and excellence in facilites ranging from nursery schools to universities.

5. Partners in Public Access Facilities
Partnerships between public and private sector organisations and facilities management suppliers in a wide variety of facilities that are open to the public in whole or in part, including museums, art galleries, libraries, sports stadia, theatres, events and shopping centres.

6. Partners in Corporate Social Responsibility
Partnerships between public or private organisations and their facilities management supplier/s in which the latter play a significant role in directing and meeting the objectives of the client’s Corporate Social Responsibility strategies in the facilities they occupy and manage, and in the wider community.

7. Partners in Expert Services
Partnerships between a public or private sector organisation and a supplier with specific skills, technical expertise or experience, such as FM consultancy, IT support, reprographics, software development, relocation management, mail and courier services, etc.

8. Partners in Business Change
Partnerships between clients and support services and facilities management suppliers to facilitate change in business ethos to a flexible and responsive working environment typically through relocation strategies, workplace refurbishment and interior design, and a business and property strategy leading to a seamless transition to an enriched business.

9. Partnering Excellence
The successful delivery of FM services depends in a large part on those people at the ‘client interface’. Finalists in the PFM Awards are invited to nominate one member of their operational facilities team who has demonstrated an exceptional contribution to the success of the partnership through their enthusiasm and effectiveness as an operative or supervisor of a small team of staff. (see note 3 below).

10. Partners for Skills Development in FM
Partnerships between client FM departments and/or FM companies and training and education organisations to develop the competencies and skills of the FM team from apprentice level to senior management.

11. e-Business Award
This Award recognises how the sector uses new technologies to improve business processes and performance in FM and property related activities. Entrants can be working in partnership with expert partners or using in house resources on initiatives to exploit new technologies including websites, company intranets and customer extranets, e-procurement, desktop services, online PR and marketing campaigns, project websites, online benchmarking and other information services in FM, property or related areas. 12. FMA Young Manager of the Year
Presented and judged by the Facilities Management Association, the FMA Young Manager of the Year Award recognises management potential among facilities professionals at the beginning of their careers in FM. (see note 2 below).

13. Lifetime Achievement in FM Award
Nominations are invited for a property and facilities professional who throughout his/her career as the client and/or FM supplier has demonstrated best practice in fulfilling strategic business objectives through the effective delivery of property and FM, and who has shown leadership in the FM community. (See note 4 below).

14. Overall PFM Awards 2010
Winners of the 'partnership' categories will be automatically considered for the Overall PFM Award that demonstrates excellence in all the judging criteria.

HOW TO ENTER

  • • Write a 1,500 word description of the Partnership or Nomination*
  • Complete the entry form that is also published in the March, April or May issues of PFM and on this website. Both the client and service supplier/s must sign the form as joint entrants. The completed form should be faxed to PFM at 01732 770049 by the closing date and a copy included with your entry submission.   • Provide 3-4 good quality photographs to illustrate the contract (digital high resolution JPEG files) on a CD ROM or USB memory stick.
  • Only Partnerships and projects that have been active between 31 May 2009 and 31 May 2010 may enter
  • Submit your entry form, three paper copies of the 1,500 word description together with a digital version and a selection of photographs by FRIDAY 28TH MAY 2010

PFM AWARD FOR PARTNERING EXCELLENCE: Finalists in the Partnership categories may nominate a member member of their operational team or supervisor of a small team for the Partnering Excellence Award. PFM must be advised of the nomination and a brief description of why the person is nominated must submitted by email to pfm@imlgroup.co.uk. The judges must also be advised at the time arrangements are made for their visit, and be provided with the same description above. Ensure the judges have an opportunity during their visit to your site to speak to the nominated person for about 15 minutes.
  4. LIFETIME ACHIEVEMENT IN FM AWARD: Nominations for this Award by colleagues/employer/clients of the candidate should be sent to the Editor, PFM at pfm@imlgroup.co.uk and supported by a submission detailing the key achievements of his/her career and reasons for the nomination.

    • career progression
    • innovation and achievement throughout career
    • implementation of sustainable strategies in FM role
    • development of FM skills/careers of staff
    • ongoing learning and mentoring/teaching activities
    • active participation in professional institutions/organisations
    • support for the development of FM theory and practice
    • reputation among colleagues, clients and sponsors
    The judges will consider each nominee from the submission and external references provided, and by consulting the proposers and sponsors as required. The selected winner will then be invited to accept the Award. The proposers of the unnsuccessful nominees will be advised accordingly.

Partnership Categories

What to include in the 1,500 word description?
Only three entries will be selected to be finalists. The basis of the selection is how well your 1,500 word description of your entry demonstrates the level of Partnership, Innovation, Sustainability and Achievement. It must contain enough information to enable those making the selection to:

  • Gain an understanding of the scope of the contract
  • See how the partnership arrangement works
  • See what the benefits are to both parties and
  • Show what has been achieved over the duration of the contract

Supplementary information may also be submitted in the form of graphs or tables, etc, but this should be strictly limited. There are no extra points for volume!

How to present the information
Your written entry is the only evidence available at the early stages of the judging to assess whether your partnership is worthy to go forward to the final stage of the competition. It must provide a clear and concise description of the Partnership demonstrating how it fulfils the judging criteria. A copy of the entry form signed by both parties must be supplied with the written entry. The paper copies are sent to the judges. These may be submitted in presentation folders (large ring binders are discouraged).

Company logos and photographs
Good quality photography is essential. Photographs of the client site, the FM team, typical FM activities, etc, help to describe your entry. Ideally they should be included as laser prints within in your 1,500 word paper entry, plus as high resolution JPEG or TIFF files at 300 dpi or higher on a CD-ROM or USB memory stick. Additionally company logos from all the participating organisations in the entry should also be provided on the CD ROM or USB memory stick.

Entries selected as finalists will be reviewed in the August 2010 issue of PFM where an illustration from each entry is published. In addition, at the PFM Awards ceremony, a selection of the illustrations submitted by each finalist will be used in the audio-visual presentation.

Meeting the deadlines
It is helpful to contact the staff of PFM to let them know that you are planning to enter, in what categories and with what suppliers/clients. In that way PFM knows whose entries are still outstanding as the deadline nears. Please keep us in touch with your progress. Finalists and the judging process
If you have been selected as a finalist, you will be informed by letter about the next stage of judging about one month after the closing date for entries. If your entry is unsuccessful, you will also be informed by letter, but because of the number of entrants to these awards, we are unable to give reasons why your entry was not successful.

Three finalists in each category will be judged in person by independent judges. When you have been advised of your selection as a finalist, you will be contacted by one of the judges to arrange the judges’ visit.

Nominations for the Partnering Excellence Award are interviewed on the site visit: finalists in the FMA Young Manager of the Year and i-FM.net e-Business Awards are interviewed by a panel of judges at a location in London, and Lifetime Achievement in FM Award is by nomination only with no interview)

The judges' visit
Working in teams of two, the judges visit all the finalists in two different categories. They will arrange an appointment to visit the candidate’s main site to speak to both sides of the partnership in July, August, September or early October.
You must:

  • Prepare a presentation to the judges (about 30 minutes max)
  • Ensure representatives of both the client and service partners are present and able to answer questions from the judges (about 30 minutes)
  • Arrange a short tour of the facility to demonstrate operational aspects of the partnership
  • Ensure the judges know how to get to the site – provide location maps, collect them from the station/airport, etc, as appropriate.

The judges will use your written entry as a starting point for their examination of the claims made and to determine the effectiveness of the Partnership. They have 55 points to allocate – 10 each for Partnership, Innovation, Achievement and Sustainability, 5 for the quality of the presentation and printed material and 10 to be awarded at their own discretion.

The quality of your presentation to the judges at the interview stage is vital. It is an opportunity to demonstrate not only the facts and figures behind the claims in your entry, but also to show the enthusiasm and skill of the partners’ respective staff and management.

PLEASE NOTE: The judges are all experienced in facilities management and most have judged these PFM Awards before. Visiting finalists across the country takes a great deal of their valuable time and as a result they try to arrange to see finalists in the same region at the same time. They may have a limited number of dates available and they should not be asked to rearrange visits at your convenience. Every effort will be made to ensure that the judges allocated to the category in which you are entered have no conflict of interest that might affect their consideration of the Partnership. Should there be any concerns about this, the editor or publisher of PFM must be contacted before your presentation to the judges.

Feedback from the judges for finalists
Finalists will receive a short resume of the judges’ opinion of their entry that will be sent as soon as possible after the PFM Awards 2010 presentation dinner in November.
