2007 Winners

Awards Dinner, 4th November 2008 at The Brewery, London EC1

The PFM Awards, now in their 15th year, are the most sought after Awards in the facilities management sector. They recognise best practice in partnering in facilities management and support services between service suppliers and their clients, as well as the skills and enterprise of people engaged in this sector.

The March, April and May 2008 issues of PFM will have three pages of information about the 12 categories, and the entry form. The information provided here has some additional advice and tips for your entry. You can also see which entries were finalists and winners in the PFM Awards 2007. Just click here.

The judges look for not only evidence of a good partnership, but also what that partnership has achieved and how innovative it is. Just as important is the enthusiasm and belief of the people involved at all levels in the successful delivery of support and facilities services for their client. This is conveyed through the presentation to the judges, and points will also be awarded for the quality of this presentation performance.

If you have this enthusiasm and belief that the business relationship you have with your facilities services partners is an exemplar of ‘best practice’, enter the PFM Awards 2008.

All entries must have been in progress between 31 May 2007 and 31 May 2008. Entrants should submit a 1,000 word description of the entry detailing the relationship between the partners, and the achievement and innovation that the partners have brought to the entry. Normally, not more than two entries will be accepted from any organisation in two separate categories.

THE CATEGORIES

Partners in Business Change
Fast changing organisations need to have flexible and responsive facilities. Partnerships should demonstrate how client and support services partners such as removal contractors, interior designers and business and FM consultants can effect change strategies through a seamless transition to an enriched business and working environment.

Partners in Sustainability
The importance of sustainable workplaces strategies is rising up the business and FM agenda. Entrants in this category should demonstrate how occupiers, building professionals and/or specialist supplier partners work together to develop sustainable workplace strategies that can extend from building design through recycling and energy reduction, to green transport strategies and waste management.

Partners with People
A key component of successful FM services delivery either by service partners or in house teams is the ability to attract, retain, motivate, incentivise and train FM staff. Entrants should demonstrate their programmes for in-house or outsourced FM team development and how their HR strategy supports the corporate vision, develops competencies and skills, achieves its objectives, demonstrates innovation in attracting, retaining, motivating, incentivising and training FM staff, and attends to their health and safety needs. Entries in this category can be from in-house FM teams, supplier partner teams or partnerships between clients and supplier partners.

Partners in Expert Services
This category recognises the valuable contribution made by suppliers with specific skills, technical expertise or experience. Entrants will have demonstrated that their expertise has contributed through partnership to its client’s FM activities through, for example, FM consultancy, IT support, reprographics, software development, relocation management, mail and courier services, etc.

Partners in Multi Service
Entrants in the multi service category should demonstrate how three or more distinct ‘bundled’ facilities services are delivered as a co-ordinated package in partnership with the client organisation. Delivery of the services, at least in part by directly employed labour, should demonstrate the breadth of skill offered by the service provider.

Partners in Public Service
The FM sector plays a large role in supporting and delivering facilities services in partnership with central government departments or agencies, local government, health or education clients. Entrants in this category should demonstrate how FM skills have been used to support the delivery of services to the public and public servants.

Partners in PPP/PFI
As more long term PFI/PPP projects enter their operational phases, FM organisations are in the forefront of delivering facilities and services for public sector clients. Entrants should be in the operational phase of the contract and be able to demonstrate how they work with consortium partners to deliver facilities and services for a public sector client.

Partners in Sports Facilities Management
FM skills will play a large part in successfully delivering the Olympic Games in London in 2012. Entrants must demonstrate best practice through partnership with sports organisations and the public and private sector, for the delivery of FM and support services at community, school or university sports and leisure facilities, at elite and professional sports stadia or in support of large scale sporting events.

Partners in Facilities Management
This category covers strategic partnerships where a wide range of facilities services are delivered and managed for a client organisation. Entrants should demonstrate how the partnership is strategically aligned with the client’s business needs and reflected through the supply chain to deliver a broad range services effectively.

MITIE Business Innovation Award
This Award recognises the businesses benefit from business innovation and an entrepreneurial approach to FM products and services. The judges will look for evidence of significant additional service benefits, added value or cost saving to the client and the innovation and entrepreneurial skills that produce business opportunity from an FM partnership.

e-Business Award
Sponsored by the leading FM website, i-fm.net and Carillion, this Award is focused on how the FM sector uses new technologies to improve business processes and performance in FM and property related activities. Entrants can be working in partnership with expert partners or using in house resources on initiatives to exploit new technologies. The Award covers the whole range of ‘e’ initiatives, including websites, company intranets and customer extranets, e-procurement, desktop services, online PR and marketing campaigns, project websites, online benchmarking and other information services. Entries are not restricted to those working in partnership although credit should be given to all parties that have made a significant contribution to a project. Development of innovative software alone is not sufficient. Entrants must demonstrate its application in FM, property or related areas. Entries must be submitted online at www.i-fm.net.

FMA Young Manager Award
Presented and judged by the Facilities Management Association, this Award recognises management potential among facilities professionals at the beginning of their careers in FM. Applicants should be working in the FM sector and be able to demonstrate their commitment to extending their knowledge and experience. Entries must be submitted online at www.fmassociation.org.uk. Partnering Excellence - OPEN TO FINALISTS ONLY
The successful delivery of FM services depends in a large part on those people at the ‘client interface’. To recognise these people, finalists in each category will be invited to put forward a member of their operational facilities team who has demonstrated an exceptional contribution to the success of the partnership. This team member should be an enthusiastic operative or supervisor of a small team of staff.

Overall PFM Award
All the winners of the above categories will be automatically considered for the Overall PFM Award.

HOW TO ENTER

  • Write a 1,000 word description of the Partnership
  • Complete the entry form that is also published in the March, April or May issues of PFM and on this website. Both the client and service supplier/s must sign the form as joint entrants. The completed form should be faxed to PFM at 01732 770049 by the closing date and a copy included with your entry submission.   • Provide 3-4 good quality photographs to illustrate the contract (digital high resolution JPEG files)
  • Only Partnerships and projects that have been active between 31 May 2007 and 31 May 2008 may enter
  • Submit your entry form, three paper copies of the 1,000 word description together with a digital version and a selection of photographs on a CD ROM by FRIDAY 23RD MAY 2008

Partnership Categories

What to include in the 1,000 word description?
The judging criteria at all stages of the competition is based on three main characteristics – Partnership, Innovation and Achievement. Only three entries will be selected to be finalists. The basis of the selection is how well your 1,000 word description demonstrates of the level of Partnership, Innovation and Achievement in your entry. It must contain enough information to enable those making the selection to:

  • Gain an understanding of the scope of the contract
  • See how the partnership arrangement works
  • See what the benefits are to both parties and
  • Show what has been achieved over the duration of the contract.

Supplementary information may also be submitted perhaps in the form of graphs or tables, etc, but this should be strictly limited. There are no extra points for volume!

How to present the information
How you present your written entry is important. It is the only evidence available at the early stages of the judging to assess whether your partnership is worthy to go forward to the final stage of the competition. It must provide a clear and concise description of the Partnership demonstrating how it fulfils the three judging criteria. A copy of the entry form signed by both parties must be supplied with the written entry.

Three paper copies of the entry should be supplied together with a digital version and images (on a CD-ROM). Paper entries are sent to the judges. These may be submitted bound in presentation folders (large ring binders are discouraged).

Company logos and photographs
Good quality photography is essential. Photographs of the client site, the FM team, typical FM activities, etc, help to describe your entry. Ideally they should be included as laser prints within in your 1,000 word paper entry, plus as hard copy prints or high resolution JPEG or TIFF files at 300 dpi or higher on a CD-ROM. Additionally company logos from all the participating organisations in the entry should also be provided on the CD ROM.

Entries that go forward to the final stages of the competition will be reviewed in the August issue of PFM where an illustration from each entry is published. In addition, at the PFM Awards ceremony, a selection of the illustrations submitted by each finalist will be used in the audio-visual presentation.

Meeting the deadlines
It is a good idea to contact the staff of PFM to let them know that you are planning to enter, in what categories and with what suppliers/clients. In that way PFM knows whose entries are still outstanding as the deadline approaches. Please keep us in touch with your progress – entries may be accepted a few days after the deadline but only if approval has been sought in advance. (pfm@imlgroup.co.uk)

Finalists and the judging process
The finalists in each category will be selected about one month after the closing date for entries.
If you have been selected as a finalist, you will be informed by letter of the next stage of judging. If your entry is unsuccessful, you will also be informed by letter, but because of the number of entrants to these awards, we are unable to give reasons why your entry was not successful.

Three finalists are selected for each category for the final stage of judging in person by independent judges. When you have been advised of your selection as a finalist, you will be contacted by one of the judges to arrange the judges’ visit.

The judges’ visit
Working in teams of two, the judges visit all the finalists in two different categories. They will arrange a date to visit the candidate’s main site to speak to both sides of the partnership in July, August, September or early October.
You must:

  • Prepare a presentation to the judges
  • Ensure representatives of both the client and service partners are both present and able to answer questions from the judges
  • Arrange a short tour of the facility if this is appropriate
  • Ensure the judges know how to get to the site – provide location maps, collect them from the station/airport, etc, as appropriate.

The judges will use your written 1,000-word entry as a starting point for their examination of the claims made and to determine the effectiveness of the Partnership. They have 45 points to allocate – 10 each for Partnership, Innovation and Achievement, 5 for the quality of the presentation and printed material and 10 to be awarded at their own discretion.

The quality of your presentation to the judges at this stage is vital. It is an opportunity to demonstrate not only the facts and figures behind the claims in your entry, but also the enthusiasm and skill of the partners’ respective staff and management. The presentation should not take more than half an hour followed by some time for the judges to question both sides of the partnership and undertake a short tour of the facility.

PFM Award for Partnering Excellence
This Award is in recognition of the exceptional contribution made by a junior member of staff - up to supervisor level - to the success of the partnership entry. Finalists who want to nominate a team member for the Partnering Excellence Award should

  1. Advise the judges at the same time as arrangements are made for their visit, and submit to them a brief description of why the person is nominated.
  2. Advise PFM of the nomination and provide the same description by email (pfm@imlgroup.couk)
  3. The judges should have an opportunity during their visit to your site to speak to the nominated person for about 15 minutes.

The judges are all experienced in facilities management and most have judged these PFM Awards before. Visiting six finalists across the country takes a great deal of their valuable time and as a result they try to arrange to see finalists in the same region at the same time. They may have a limited number of dates available and they should not be asked to rearrange visits at your convenience. Every effort will be made to ensure that the judges allocated to the category in which you are entered have no conflict of interest that might affect their consideration of the Partnership. Should there be any concerns about this, the editor or publisher of PFM must be contacted before your presentation to the judges.]

Feedback from the judges for finalists
Finalists will receive a short resume of the judges’ opinion of their entry that will be sent soon after the PFM Awards presentation dinner.

Partners with People
The judges are HR specialists with experience in the FM sector. Judging will normally take place at a neutral location selected by the judges.

MITIE Business Innovation Awards
Entrants should apply as described for other categories above. However, finalists in this category will be invited attend a meeting of the judging panel comprising FM and business experts to make their presentation. The date and location will be advised to you and it will probably be in central London.

i-FM e-business Award
The i-FM e-business Award is presented in association with the PFM Awards and entries are assessed by a separate expert judging panel in a central London location. Finalists will attend a meeting of the judging panel to make their presentation. The date and location will be advised to you. Entrants should complete the online entry form at www.i-fm.net/awards. Entries in this category should be made online as instructed on the entry form. High resolution images, logos and screen shots will be required for publication in PFM and on i-FM, and for the audio visual presentation at the Awards dinner.

FMA Young Manager of the Year.
Details of how to enter this category can also be found on the website of the Facilities Management Association. www.fmassociation.org.uk. Entrants must complete the entry form which should be signed by the entrant and his/her responsible manager, and provide career details, specific projects undertaken and reasons for entering in a 1,000 word summary. A good colour photograph of the entrant is also required.

Judging of this category is undertaken by the Facilities Management Association and entrants will be invited to attend an expert interview panel. The judging process is co-ordinated by Maurice Tidy of the FMA (mtidy@fmassociation.org.uk Tel: 01737 373158.)
