SPONSORED Opex and Hugh Symons partner on information management

23 October 2013

HSIM was looking to implement the next generation of hardware that would enable them to fulfil the requirements of new clients as well as providing a continuity of service for existing partners, so it turned to Opex

Established in 1974, Hugh Symons Information Management (HSIM) is one of the UK’s leading and most respected document management and scanning companies, providing services from secure centres across the UK.

HSIM combines its extensive knowledge and experience to provide highly secure document scanning services across all market sectors, including in excess of 100 NHS Trusts, 150 local authorities, the emergency services, charities and numerous major commercial companies.

The Challenge
HSIM was looking to implement the next generation of hardware that would enable them to fulfil the requirements of new clients as well as providing a continuity of service for existing partners. As the company specializes in both confidential and high volume scanning of documents such as patient records, financial, HR and legal material – it was necessary to find a solution that allowed secure handling of information in a cost effective manner.

The Solution
HSIM had been aware of OPEX through their marketing presence and trade shows for some time but was unsure whether the technology would be suited to their production methodology. However, OPEX engaged in consultation with HSIM and suggested that they trial the latest model scanner in the shape of the unique document capture platform DS2200.

Using a state-of-the-art document feeder the DS2200 allows a single operator to scan direct from folders without the upfront, labour-intensive and costly document preparation process. This one touch secure process is revolutionising the way records are being scanned, not only by almost completely eliminating document preparation but also allowing the operator to index the images using the OPEX document capture software ‘CertainScan’.

Embedded Kofax VRS technology automatically performs a variety of essential background tasks including content based rotation, automatic colour detection, background smoothing and image enhancement, allaimed at speeding up the scanning process and at the same time offering a high-quality end product.

The unrivalled drop feed technology has proved to be a more efficient way to capture images of real-world documents because it greatly reduces, and in many cases eliminate the doc-prep steps often accounting for 70% of the cost of image capture.

The Results
Chris Booth. Managing Director of HSIM, is very impressed with the overall impact of the OPEX package and comments:

“We have to pay the utmost respect to the outsourcing responsibility which our clients have placed with us. We have always placed security and quality at the top of the list, and implementing the 2200 series OPEX scanners has allowed us to maintain these crucial factors whilst combining separate production operations to increase efficiency and productivity significantly”

The Future
HSIM is now phasing in additional OPEX scanners which will ensure complete capability for future growth underwritten by the assurance of meeting the multiple needs of high volume and accurate, professional content care and attention and enabling the company to rationalize their premises and people with measured confidence.
